The Aging Support Associate will provide a broad range of supportive and administrative assistance to the organization’s Aging & Independent Living Department. The Aging Support Associate will focus on caregiver coordination, ADRC Backup, filing and tracking paperwork, updating the community resource directory, placing client supply orders, and assisting with general office-related tasks associated with the Area Agency on Aging and Independent Living (AAAIL). The Aging Support Associate must maintain confidentiality of all participants.
General Duties and Responsibilities
1. Caregiver Coordination: Involves managing and coordinating the Caregiver program, ensuring regulations for the program are followed, and meeting program goals and objectives. This duty will consist of:
Participate in conference calls and attend Coordinator meetings or trainings as scheduled and requested by DAIL;
Maintain a waitlist for referrals when applicable;
Conduct quarterly phone contact/mailings to waitlist individuals;
Complete new assessments and annual reassessments;
Maintain participant files;
Send monthly mailings to program participants;
Distribute annual respite allocation letter to program participants;
Input and ensure appropriate participant documentation has been entered into the state data system;
Monitor participant budgets;
Review, approve, and distribute respite vouchers;
Document and purchase participant-requested supplemental supplies;
Engage with community partners to provide one (1) region-wide annual caregiver training; and
Schedule quarterly region-wide caregiver support group meetings and notify clients and community partners of the schedule.
2. ADRC Backup: Involves communicating with individuals who call the Aging and Disability Resource Center (ADRC) seeking information and/or services, conducting Level One Screenings (phone assessments) for program referrals, and providing general resources to callers seeking information while maintaining caller/client confidentiality. This duty will consist of:
Address participant comments/complaints in a professional manner;
Answer and direct telephone calls;
Complete Level One screenings;
Input data into the state data system;
Maintain accurate call records;
Ensure ADRC phone line coverage.
3. Clerical/Administration: Involves supportive and administrative-related items, such as answering phones, filing, copying, and scanning. This duty will consist of:
Data entry and record maintenance;
Updating Gateway Area Development District’s Resource Guide;
Copying, scanning, faxing, and mailings;
Creating letters and other business-related documents;
Maintaining accurate participant files and ensuring confidentiality of sensitive information;
Scheduling and coordinating meetings, trainings, and/or presentations;
Preparing reports, forms, and other documentation as needed;
Assisting with the distribution of outreach and educational material;
Supporting staff with program compliance documentation;
Assisting with obtaining background checks for waiver clients’ employees;
Assisting with the resolution of errors within the waiver Electronic Visit Verification (EVV) system;
Placing orders for goods and supplies for clients and keeping track of related paperwork; and
Providing general support for the organization’s Aging & Independent Living Department.
4. Other Duties: Involves any other tasks and technical assistance needed to support the Aging & Independent Living Department.
Qualifications
Education: High School Diploma/GED or higher. Associate’s degree or higher in a health or human services field is preferred.
Certification and Trainings: Valid Driver’s License required. Employees will be expected to attend professional development trainings related to programs and services provided within the Aging & Independent Living Department. Registered Nurses must maintain a valid license as a condition of continued employment.
Experience: Entry Level Position. One (1) year of related experience and/or related internship preferred.
Physical Requirements
Sit for extended periods of time; stand and walk for extended periods of time; reach, stoop, crouch, bend; ability to lift and carry approximately 30 pounds; fine motor skills; and operate a vehicle.
